JOB TITLE: Client Service Administrator
Location: Manila/Tarlac/Clark/Cebu
Shift: 7:00 AM – 4:00 PM, Monday to Friday

About this role…
We are seeking a highly organised and detail-focused Client Service Administrator to support the smooth delivery of services in a fast-paced Australian accounting firm. This role involves managing client documentation, coordinating ASIC and ATO processes, supporting inbox and calendar management, and ensuring data accuracy across systems.

Key Skills and Experience
• 5+ years of experience in a similar role, must have experience in an Australian accounting firm
• Excellent written and verbal English communication skills
• Proven ability to work autonomously without supervision
• Critical thinking and ability to take initiative – sees what needs to be done and acts on it
• Strong workload management skills and ability to establish priorities, with high attention to detail and alignment to core values

Main Responsibilities
• Prepare high-quality, error-free collation of financial statements, tax returns, BAS, and other documents for electronic signing in an efficient and systematic manner
• Timely and accurate processing of ASIC annual reviews and company changes using CAS360
• Ensure all software systems are synchronized, eliminating data discrepancies
• Manage the director’s inbox – including filing emails, creating tasks/jobs, calendar management, and meeting setup
• Download documents from the ATO portal and save them to the accountant’s workpapers for BAS, tax return preparation, etc.

Additional Tasks ( training provided)
• Ensure ASIC and ATO forms are signed, lodged, and paid on time
• Onboard new clients – collect information, verify IDs, add to all relevant systems (ATO, ASIC, software tools)
• Offboard ex-clients – liaise with new advisors, remove data from systems and government portals
• Check client-submitted documents and follow up on any missing information
• Use Microsoft Word, Excel, PowerPoint, and Outlook
• Perform general administrative and ad hoc tasks as needed
• Contact ATO for various admin tasks, including payment plan applications
• Document procedures based on Loom videos
• Prepare and send client proposals
• Manage electronic filing
• Assist with systems management and maintenance
